These Terms and Conditions (“Terms”) govern the relationship between you (the client) and Sole Encounters Trekking Pvt. Ltd. (“we,” “us,” “our”). By booking a trip or using our services, you agree to the terms below.
We may cancel trips due to insufficient participants, natural disasters, pandemics, political unrest, or other force majeure.
In such cases, clients may choose:
A comparable replacement trip
A full refund (excluding non-recoverable costs)
A travel credit valid for 18 months
Comprehensive travel insurance is mandatory for all participants.
The insurance requirements depend on the specific activity and will be clearly communicated during the booking process.
For activities at high altitudes, the policy must include:
Coverage for the maximum altitude to be reached on the trip
Emergency helicopter evacuation in the event of serious illness or injury
Medical expenses, including treatment and hospitalization in Nepal
Clients must assess their fitness and health before booking.
Notify us of medical conditions, dietary restrictions, or special needs at the time of booking.
Minors (<16) must be accompanied by a guardian. Some trips are unsuitable for minors or clients with certain health conditions.
Clients are responsible for a valid passport, visa, and vaccinations before travel.
Itineraries may change due to weather, road closures, or safety issues.
We reserve the right to revise routes, accommodations, or schedules without notice.
No compensation is provided for changes caused by external factors.
Adventure travel involves inherent risks, including but not limited to high altitude sickness, unpredictable weather, avalanches, rockfalls, landslides, limited access to medical care, wildlife encounters, transportation issues, and civil unrest.
By booking with us, you acknowledge and voluntarily accept all such risks and hazards.
You will be required to sign a comprehensive Risk Waiver and Release of Liability form prior to trip departure.
Sole Encounters Trekking Pvt. Ltd. and its staff are not liable for any loss, injury, delay, or damage sustained during the trip unless caused by proven gross negligence.
It is your responsibility to assess your personal ability to complete the trip and consult a doctor if unsure.
Clients must follow the guide's instructions and act responsibly throughout the trip. Any decision to continue against advice is at your own risk. (e.g., altitude sickness, extreme weather, landslides, limited medical access).
By booking, you accept these risks and agree to sign a risk waiver and liability release before departure.
We are not liable for loss, injury, or death unless due to proven gross negligence.
Clients must act responsibly and follow the guides’ instructions at all times.
Ignoring safety advice (from guides or authorities) is at the client’s own risk.
We work with local hotels, airlines, and transport operators.
We are not liable for issues caused by third-party providers. Disputes with them must be handled directly.
All clients must behave respectfully and follow local laws.
We reserve the right to remove anyone for offensive, unsafe, or illegal behavior, without refund.
Any damage caused by the client will be their financial responsibility.
We may take photos/videos during trips for promotional use.
Clients who wish to opt out must inform us in writing before the trip.
We collect only essential data (e.g., passport details, emergency contact, medical needs) to operate trips.
Your data is protected and not sold. It’s shared only with team members directly involved in the trip.
In compliance with GDPR, clients may request to access, modify, or delete personal data.
We may update these Terms at any time. The latest version will always be available on our website.
